Each quarter, we provide detailed reports that include an Inventory Change summary, all preventive maintenance performed, an Open and Closed Repair summary, preventive maintenance completion rate, equipment end of life (EOL) concerns, and all repairs of note (tracks patterns of no problem found).
Our inventory reports are immediately available upon request. And each quarter we send an updated inventory list in an easy-to-sort Excel file, available to all department managers. Our process ensures your inventory list remains current and accurate continuously.

- Data Input—We use MEMRI to input all details about the included equipment.
- Reminder Messages—Each month we send reminders of preventive maintenance that is due.* The MEMRI system automatically generates these messages and communicates them to designated personnel at your hospital.
- Record Keeping—We use MEMRI to collect and store electronic files of all preventive maintenance and repair documentation records.
*Reminder messages ensure maintenance that is due does not slip from your mind; however, you will schedule and handle all service requests with vendors for equipment not managed by HMS.

Vendor Management by HMS takes the Paperwork Management process to another level for equipment not serviced by our technicians. The plan includes the following services:
- One-Call Service—You can handle all service requests with just one toll-free call to HMS Health, and we will then manage the repair process and keep you informed of progress and/or decisions that may be required.
- Hassle-Free Scheduling—HMS will contact all vendors to schedule preventive maintenance. This ensures no required maintenance gets overlooked, and it frees you from the hassle.
- Invoice Scrutinization—We will carefully review all vendor invoices for accuracy of charges and services.*
*Reviewing vendor invoices ensures you are not charged for unnecessary costs; however, you will still handle the payment process for vendor invoices.
